VISTA 6 Minutes
September 2, 2008
 
The September, 2008 VISTA 6 meeting was held on 9/2/09 at Frost Junior High school.  The meeting was called to order shortly after 7:00 p.m. by Barb L. The meeting opened with Denise U. leading us in an opening ceremony.
 
Barb L. welcomed everyone back to a new year and began by sharing an organization chart  which was included in everyone’s packet of information.  For ease of organization and communication, the VISTA has been divided into an East Community and a West Community, with 15 schools in the East Community and 14 schools in the West Community.  To further communication and education, a roster of ambassadors and respective job titles was introduced, with a hard copy with e-mails, phone numbers, etc included each packet.  As a matter of housekeeping, a sign-up sheet for babysitter / child care providers was passed around.  It was noted that the girls volunteering should be sixth grade and up.
 
Future events were announced, including:
 
Chyenne S, - Adult Bingo from 10 a.m. - 4:00 p.m. on 11/21 with further details to be announced at the October VISTA meeting.
 
Barb reminded everyone that September 15th and October 13th are double-punch days at Vernon Hills.
 
Denise U., with the help of two special announcers, told the group about a Leader/Daughter overnight weekend to be held at Wild Rose Program Center the weekend of 11/7-11/9. Deadline to sign up is 9/17 and the cost is $35/mom and $30/daughter.  The schedule of events was shared and a list of needed items will be on the website but includes pine cones, heavy fabrics, and old craft supplies such as pom-poms and pipe cleaners.
 
Donna Marie A. described the changes in the registration process and directed our attention to two pieces in the information packet.  Registration forms will go to Donna Marie’s partners and then will be given to Donna Marie for final verification.  Registration will be done online using existing troop numbers with new troops being assigned a number beginning with 4.  All passwords expired after 4/30/08 so those who don’t have a current password will need to apply for one.
 
Julie J. is handling Fall Products for the VISTA.  She explained two important changes this year:  Daisy troops will sell fall products beginning this year and all paperwork will now be done online. Mandatory training sessions will be held at St. Hubert on 9/22-9/25 @ 7:00 p.m. in the Meeting Hall, other than 9/24 which will be in the St. Hubert Club Room.  In keeping with the goal of eliminating paper, there will be no manual this year but directions will be on a disk.  Girls will continue to receive a packet for the sale.
 
Dawn R. alerted us to the fact that bank account titles will have to change.  Those troops banking with ACB will not have to do anything relative to the account number as the bank will do a systemic change of account titles so while new checks will have to be ordered, troops may keep their current account number.  Harris troops will have to close their accounts and open new ones with new account numbers.  Additional information and the timing of the changes will be discussed at the October VISTA meeting.  
 
Karen Z. has a number of training events planned. Dates and places will be posted on the website.
 
Selena R. described the new role she is assuming, Girl Membership.  Her job will be  to get new girls of all ages to register.  She will have the School Organizers reporting to her and will be conducting training to implement ways of increasing our numbers.  She will be a resource to troops looking for ideas for troop enrollment increases.
 
Public Relations will be handled by Denise U.  Any upcoming event should be e-mailed to her prior to the date so she can contact the media for coverage. After an event,  a write-up can be shared with the VISTA.  She encouraged everyone to e-mail photos of their event to her.
 
Denise also mentioned that several rededication ceremonies are listed on the website and encouraged everyone to look at them and share their ideas.  It was noted that sometimes the simpler the ceremony the more meaningful it can be for the girls. 
 
VISTA 6 events were mentioned, including the Septemberfest Parade held this past week-end; a Roller Skating- Add a Friend event on October 19 and a Bowling -Cookie Kickoff to be held on January 4.   More details on the future events will be available at the next VISTA meeting.
 
The formal meeting was adjourned and a de-briefing segment for new leaders and leader with questions was held.  The next VISTA meeting will be 10/7/08 at 7:00 p.m. in the Frost Jr. High Cafeteria.
