The meeting was called to order at approximately 7:05 p.m. by Barb L.
 
The first order of business included several announcements:
  • Donna Marie thanked us for supporting Troop 1850’s bake sale taking place in the hall outside the meeting room.  The girls are raising money to fund their trip to Savannah.
  • Terry B called attention to the craft items being given away at the back of the room after the meeting.
  • Selena explained about a raffle she is helping a Dad hold for Hannah Montana tickets.
The next topic included some general housekeeping items.  Barb reminded us of the obvious need to be courteous to our Cookie Coordinators.  Reminding us that we are all volunteers, she stressed the need to be considerate of them and to remember that many details of the cookie sale are outside their control. 
 
Secondly, Barb reminded attendees who had previously signed up to be delegates that the annual Corporate meeting will be held on Saturday, February 23 at the Deerfield Hyatt.  Registration starts at 9:30 a.m. that day with the meeting beginning at 10:30 a.m. and adjourning at Noon.  Anyone who is no longer able to be a delegate should inform Barb asap.
 
Bea Manual Sims was introduced to the group.  Bea is the Council Family Partnership Representative.  She informed us that while the Family Partnership material is being updated we will see the same, consistent message highlighting the impact the family partnership fund raising can have.  She will work with Julie R with the two of them being available to make family partnership presentations.  We will see the updated presentation at the March VISTA meeting.
 
Next on the agenda was a review of upcoming events:
  • Selena gave an overview of the Daisy Tea to be held in the St Hubert Meeting Hall on Sunday February 10 from 2:00 p.m. - 4:00 p.m.  This function is for Daisy girls and a significant adult female.  The Daisies are also able to bring older sisters who are Girl Scouts.  Permission forms and event announcements were handed out.
  • Donna Marie discussed Troop 1850’s All VISTA Bingo Party on Saturday, April 5 at Addams Junior High.  Details and permission forms were dispersed with a note that payment and registration deadline is Tuesday, March 4. 
  • (Since Julie R had not yet arrived, her explanation of the Beauty and the Beast event was deferred.)
The discussion moved on to an update on registration given by Barb and Donna Marie.  Registration E-Council can’t be accessed because the password expiration.  Leaders need to see Donna to apply for a new password for spring registration.  The form to request a new password was in the folders distributed in the fall but Donna Marie will bring a supply to the February meeting.  Missing paperwork as indicated in the agenda chart needs to be addressed asap.  Any paperwork leaders may have should be turned in to their registrar partner or directly to Donna Marie asap.  On January 18 Donna Marie should have lists by troop numbers and by names of those missing paperwork.  Somehow, money is being deposited but paperwork is not making it to the council so all leaders are urged to look through their files to see if any paperwork was inadvertently not sent to council.  As a reminder, the pink copies of the registration form are for parents’ records and the yellow sheet stays with the troop and is to be taken on field trips.  Donna Marie will hold a seminar this spring on completing the paperwork correctly.
 
The next agenda item--Cookies-- was addressed.  A time line of important dates was handed out.  A brief discussion of the immense value of door-to-door (under supervision) sales ensued.  Also discussed was the importance of helping the girls reach their goals and their part in helping with troop goals versus putting the  emphasis on the money or the selling just for the sake of selling.  We were cautioned not to loose track of the real reason for cookies:  the setting and reaching of goals and to a lesser extent to have the financial wherewithall to do troop activities.  A list of the many lessons girls can learn from the act of selling cookies ensued:  negotiation of troop goals; conflict resolution (to take incentives or not); math skills; reinforce manners; public speaking skills; prioritizing skills; etc.    
 
The cookie discussion was tabled when Julie R arrived so she could update us on the Beauty & the Beast theater outing.  Forms are due on or before the February VISTA meeting for this March event.  There are only 250 tickets so we are not able to make this a family event like the skating party.  Ideally, by limiting attendance to only scouts and leaders, more scouts will be able to attend.  Julie also reported that the pictures taken at the skating party will be available at the February VISTA meeting and the rally patches (cookie kick-off) money is due at the conclusion of the evening.
 
Resuming and wrapping up the cookie discussion, leaders were urged to check the website and consult the printed handouts for goal setting, door-to-door sales, site sales, and role playing ideas and tips.  The decision to elect to have the incentives does not have to be made upfront but can be deferred until the T-1 form is submitted.  As clarification, the 100 patch is given even if you choose to not have the incentives.  Availability of cookie recipes and the "double" names of some of the cookies (i.e. Shortbread/ Trefoils)  was reviewed.
 
The meeting was adjourned at approximately 8:00 p.m. with the small break out groups being placed around the room.  The group was divided by age of girls with small group discussions on the various aspects of the cookie sale.
