Meeting Minutes:

Tuesday, September 5, 2006 - 7:00 p.m.

VISTA Reports

Introduction by Barbara (VISTA Manager) who read poems "Creed for Volunteer Leader" and "Because The Girl" (copies are available).  Girl Scout BINGO was played as a way for adult volunteers to become acquainted with each other.   Introduction of cabinet ambassadors positions was next. Definition of difference of ambassador and partners position was explained (Partner is a former SU team member position).  Open partner positions was listed, some were filled from present volunteers.  Field trip applications are to go to Arlene or Lori.  Events committee description and request for volunteers.  This is where the ideas for an event go to the team who will help with the delegation of responsibilities for that event.  Events are not limited to troops/schools/communities, VISTA age levels: Daisy, Brownies, Juniors, Teens/STUDIO 2B’s.

Explanation of VISTA creation. See graft (Arlene can add here). Not limited to current positions, additional positions can be created within our VISTA, such as librarian.

Length/format of future meetings.  1st half will be getting information out to the volunteers, short break (if necessary and chosen by
volunteers, 2nd half will be activity or training, round-robin (age level or school level information exchange).

Meeting dates are to be the 1st Tuesday of each month.  Locations are to be announced on the Web page.  Discussion of moving the meeting around the VISTAso as to share the driving distances. Recommendations of places are to go to VISTA Manager.  Meeting place should be for up to 125 people.

Leader Bucks, brief explanation and more details to follow next meeting.

Flag Ceremony at Schaumburg Village meeting is 4th Tuesday of each month. Maximum of 7 girls participating but more may be there to watch.  Requirements for age level insignia are met while doing this. Also possibility that Village of Hoffman Estates will soon be available.  Contact Arlene.

Fall start up packets and registrations distributed.

September 16th Busse Wood Bike ride flyer gone over.  Support Our Troops presentation/flyer: also can be used for service hours
Volunteer Agreements are to go to next level up after completing; leaders to organizers/partners, organizers/partners to ambassadors, etc.

Fall Product Presentation by Selene and Kathy.  Explanation that if positions were not filled, community would not be able to sell products, Positions were filled from present volunteers.  Theme: Embracing Our World.  October 13-29, 2006 selling dates.

Presentation/explanation of cabinet position by ambassador:

Learning Opportunities (Karen), training will be within our VISTA, will set up First Aid and/or CPR, please try and find previous training records so as to be updated, survey of needs will be at next meeting.

Multicultural (please supply name), more information at next meeting, request for Japanese interpreter for Dooley school.

Public Relations (please supply name), Web site with pictures, newspapers, whatever you are doing (regardless of what you think, please let me know) to put the creation of VISTA and notification of Fall product information out to public

Internal communications (Arlene),  "there will be no personal information on Web page."  For event notification to be posted, the following information is needed:  date, start/stop time, descriptions, directions to place.  When sending eemail, use Girl Scouts or GS in subject field.

Finance (Dawn), next meeting will have a list of rules/guideline for troops, events, use of budget reports, laminated tax id cards,     names of banks that are preferred (check with community partner).

Final words from Barbara, "communication is my goal in bringing us together as a group (5 communities into 1 large community)"    "Our ultimate goal is serving the girls."
