Meeting Minutes:

Tuesday, September 9, 2008 - 7:00 p.m. - 9:00 p.m.

Longfellow School, 501 Arlington Heights Road, Buffalo Grove, Illinois

VISTA Cabinet Ambassadors present: 1
Absent: 1
Girl Scout Leaders present: only a small handful
Others present: Replacements for Kay Monroe are: Sara Nam (snam@girlscoutsgcnwi.org, 847-573-0500 ext. 2523) and Susannah Reckamp (sreckamp@girlscoutsgcnwi.org, 847-573-0500 ext. 2533).  Also present from Council was Kathy Stigler (kstigler@girlscoutsgcnwi.org, 847-573-0500) to talk about Fall Product Sale.
Order of business
  1. VISTA 2 Cabinet
    • WE NEED A VISTA 2 MANAGER/UNITED WAY AMBASSADOR!
    • WE NEED FALL PRODUCT AND COOKIE SALES TEAMS!
    • We have an Internal Communications Ambassador: Cathy R (V2_IntComAmb@gsvista.org)
    • We have a Finance Management Ambassador: Sue J (V2_FinManAmb@gsvista.org)
  2. Fall Product Sales
    • WE NEED SOMEONE TO COORDINATE THIS FOR THE VISTA! Kathy Stigler will train you. Should be much less work than previous years because of online ordering -- mostly involves coordinating delivery of candy and nuts and pick-up by troops. Please contact Kathy Stigler (kstigler@girlscoutsgcnwi.org or 847-573-0500 ext. 1014) if you can help out.
    • All orders to be filed electronically, similar to registration. Leaders whose girls are selling will be given a password to log on to e-council and place the orders. No middle person for each community. Less paperwork.
    • Magazines orders can be taken by girls in the old traditional way, or they can use the new e-mail solicitation system. For e-mail, each girl logs into the program and is prompted to supply 12 or more e-mail addresses. A solicitation for subscription, plus a list of all the magazines available, automatically goes to every input address. Hopefully, she will then get some requests for magazines, which she then turns over to her leader/fall product mom for electronic ordering.
    • Troops keep 15% of sales
    • Daisies can now sell magazines! (They can also sell cookies, but no site sales)
    • Troops must participate in both Fall Product and Cookie sales to qualify for their own fundraising activities.
  3. Shop news -- September 15 is next double punch day
  4. Banking Information -- New non-profit tax exemption forms were available at this meeting. Our tax exempt number stays the same, only the name of the organization to Girl Scouts of Greater Chicago and Northwest Indiana has changed. Contact Sara or Susannah if you need one of these forms. Troops can still use their old checks. Just cross out "Illinois Crossroads" and write in "Greater Chicago & NW Indiana."
  5. Cabinet Kick-off Event -- September 20. Make your reservation online by Sept. 15. Big party! Trainings will be available -- but no CPR or First Aid training :( .  Expensive private CPR and First Aid training programs are listed on the web site if you need that.  Training will be offered for the new "Journeys" program. You can pick up books for the Journeys program at the Council shop.
  6. Panorma suppliment packets are now available. If you did not receive your packet at the meeting, the Registrar for your registration area has your packet. One per troop. Contact her for pick-up.
  7. Saturday Events: look at our VISTA events page for details.
    • New STEM Saturdays
    • New Brownie STEM Saturdays
    • New "Fit To Be Me" Saturdays
Meeting adjourned at 8:30 p.m.
