January 9, 2007 – VISTA Meeting Minutes

 

VISTA MEETING (New Info) – Kathy M

Ø       Delegates – By the end of the week, she needs (10) Delegates for Vista 14, plus additional delegates for other areas.  Please let her know if you are interested. 

o        The Corporate Meeting is on 2/24/07 in Wheeling.  This would be the first duty as a delegate.

o        She currently has (5) people that have volunteered to be delegates.

Ø       Vista Cabinet – Please consider if you would like to be a member of the Cabinet for the 2007-2008 Girl Scout year.  If you are an existing member, please consider if you want to retain your role, transfer to a new role, or step down.

o        Now would be a good time to train with the existing member if you are interested in one of the positions.

 

RECRUITMENT – Chelle T

Ø       A reminder of the meeting on Jan 10, 7pm at Morrison for all Girl Membership/Recruitment volunteers.

Ø       We are looking to do an adult drive in the coming months.

Ø       Courtney is working on the collaborations @ the schools

Ø       We are currently #2 in the Council for Vista’s closest to their goal.

Ø       We are 350 girls shy of our goal for the year.

Ø       Reminder:  Everyone that is a signer on the Bank account must be a registered Girl Scout.

Ø       Also, any adults that help out with Cookies (Cookie mom) or at site sales, must be registered.

 

PRODUCT SALES (COOKIES) – Jennifer C

Ø       Site Sale Sales

o        Applications were due 1/8/07

o        Open sites within the VISTA will be posted on the website on 1/20/07

o        Use the form in the Green Order Coordinator book to request a site from another community. 

o        Open sites in other Vista’s will be available on 2/2/07.

o        *Please remember that all requests must go through your local community Site Sale Coordinator first.

Ø       Sales Goals

o        Encourage your girls at the troop meetings and outings

o        Call the parents and see if they have any questions/concerns or if they need any additional forms.

Ø       New IPOD Incentive

o        The top seller in the VISTA will get an IPOD + docking station

o        Each Girl that sells at least 95 boxes will be entered into a drawing for an IPOD.  (1 per Vista)

§         Each additional 25 boxes of cookies over 95 qualifies for another entry.

§         The Cookie Coordinator for each troop is responsible for filling out and submitting the IPOD drawing entry forms.  (They can be found on the website)

Ø       Forms

o        The T1 form is due to the Community Partner by 2/2/07

Ø       Reminders

o        Do not collect $ for the cookies until they are delivered. 

o        Do not sell the cookies before or after the dates specified.

Ø       The Jug is in the Cafeteria for any donations

Ø       February Vista meeting will have a new activity

 

MISC – Kathy M

Ø       The Suggestion Box - feel free to drop in any suggestions.

Ø       Blue book of Documents is available for anyone who did not get one in December

Ø       Volunteer Forms are available for any Leader/Co-leader that still has not turned one in.

Ø       E-council Forms are available for access to troop registration records

 

VISTA SHED – Holly C

Ø       New Equipment request form was distributed and is posted on the website.

o        Turn the form into Holly for any items requested, and give her a couple of days notice.

Ø       All items inventoried are listed on the form.  (Flags, Reference material, Program boxes, Misc books, etc.)

 

VISTA EVENT REGISTRATIONS:

 

Due 1/9:

Ø       Wilmot Ski – Forecast looks good! 

o        Turn in any final registrations tonight.

o        Troops that registered will be notified of any changes by Saturday.

Ø       Daddy/Daughter Dance

o        Registers/Permission slips due tonight.

o        Volunteers welcome!

 

Possible events – Holly C:

Ø       Earth Day Event (April 22)

o        Possible Ryerson Woods for location.  Inquiring with the naturalist program, SWALCO, Flint Creek, and Sierra Club for assistance in running the event.

Ø       National River Cleanup (June 2)

o        Working with the Fox Waterway Agency on a possible Scout Day (Boy & Girl).

 

OTHER SERVICE/DONATIONS:

Ø       Troop #654 is making Freedom Quilts and is looking for denim donations.

o        Please bring any donations to the February Vista Meeting.

o        The Flyer is posted on the Website for more details.

 

Courtney’s Corner – Courtney

Ø       She is in the process of setting up 3 Events for Registered girls ages 11-17 + friend(s).

Ø       Event #1 – Bonfire/Campfire/Picnic on March 10 (Possibly late morning/early afternoon)

o        It will be open to girls from other Vistas

o        They will learn how to plan an event

Ø       Event #2 – Spa Day @ Morrison on April 14 from 9-4:30

o        This will only be open to girls in Vista 14 (age 11-17) plus 1 or 2 friends

Ø       Event #3 – Financial Matters on June 2

o        Starting 2/2 the sites will be open to other Vista’s

 

THINKING DAY – Holly C / Troop #1747 (Junior Bronze Award)

Ø       The Donations and “Pennies a day” (see attached flyer) are to be brought to the event

o        They will have boxes for the donations and jugs for the pennies.

Ø       The girls will be doing songs and games from around the world as well as a presentation.  They will also be dressed as girls from other countries to match the patch they chose.

- cookie sales have already started as of the 5th, if you need any more paperwork, please contact Lorrie directly.

 

Site Sales Update - Linda R and Cheryl G

- all site sales request need to go to Linda.  She will assign them on a first come, first serve basis.  VISTA locations will be open to everyone after January 20th.  You must request these locations through Linda R.

                         

Project Warm Hugs - Anna K.

- so many troops had signed up that we need more supplies for blankets (which is WONDEFUL!!!)  It was voted amoung those present to use Community funds to buy the extra material needed. 

 

Lake Villa St. Patrick's Day Parade - Stephanie K.

- Saturday, March 17th - line up is at 11 am in front of Palombi school.

 

Me & My Guy Laser Tag - Starr H.

- Sunday, March 18th starting at 2 pm - Rinkside Sports Gurnee Mills

1st Grade Brownie "Teddy Bear Sleepover" - Colleen B.

- March 30th and 31st at Morrison Program Center

 

Family Ice Skating at Rinkside Sports - Dawn B.

- (This event is being rescheduled for April or May)

Milwaukee Public Museum - Under the Stars Overnight - Starr H.

-  Still waiting for scheduling with Museum

Qperation Quiet Comfort by Troop #654 - Stephanie K.

- Troop #654 will be collecting old denim (jean, etc.) for their quilt project for wounded soliders.  Please bring them to the February/March/April VISTA meetings.

 

Update on Events

- Caroling for Cans - wonderful turn out, we had several personal donations and an anomous donations.  We had so much donated we were also able to help stock up the food pantry.

 

- Allendale Stockings - wonderful turn out of donations.  Ellen and Laura's troop brought the 150 "stuffed" stockings to Allendale before christmas.  The stockings are always appreciated by the children at Allendale.

 

- Polar Bear Camp - many leaders said their girls attended and had a Wonderful Time.  Thanks Linda for putting together another great day camp program.
